Accessing Employee Self Service

You can reach Employee Self Service from the County’s Intranet or Internet home pages.

From the Intranet

  • Go to: http://sc-intranet/
  • Click the Employee Self Service icon (located in the Frequently used Resources section at the top of the screen).

From the Internet

  • Go to: http://sonomacounty.gov/
  • In the search bar, type “HRIS.”
  • Select Employee Self-Service from the search results.

Signing In

  1. On the Welcome page, enter:
    • Last Name
    • Employee ID #
    • Password
  2. Click Log In.

If you forgot your password

  • Click “Forgot your password? Click here.”
  • Complete the required fields.
  • Click Continue.
  • A new password will be emailed to you within a few seconds.
    If you need additional help accessing your account, contact HRIS at hris@sonomacounty.gov.

Accessing the Tax Change Forms

  1. On the Employee Self Service home page, select Menu on the left.
  2. Click Pay Information.
  3. Choose FEDERAL TAX CHANGES or STATE TAX CHANGES to open the Tax Change Form.

Understanding the Tax Change Form

The form is divided into three sections.

1: Current Elections (Top Section)

  • Shows your current W-4 / DE-4 tax elections.
  • To view past elections, use the green arrows above the table.
  • The date of each previous election appears in the date box.

2: Instructions (Middle Section)

  • Provides information on how to complete the form.
  • Shows the Save Date Options.
    • These dates must be used when saving your changes.
    • These dates match the allowed pay period start dates.
    • If you use any other effective date, the form will be rejected.

3: Make Your Tax Election Changes (End Section)

  • The left side explains how to make changes.
  • The right side contains the fields where you enter your W-4/DE-4 elections.
  • Each field label tells you which part of the tax form it corresponds to.

Saving Your Tax Changes

  1. After you update your elections, click the green Save icon in the upper-right corner.

  2. The Date Sensitive Save window will appear.

  3. Complete the fields:
    • Effective As of: Select one of the Save Date Options from the Instructions section.
    • Change Reason: Enter TAX STATUS CHG.
  4. Click OK.

Submitting Your Tax Form

  1. At the top of the screen, click Submit Changes.

  2. A certification screen will appear.

  3. Review all entries to confirm accuracy.
  4. Click OK to submit the form for approval.
